Privacy Statement
The City of Mandurah (“the City”) is bound by the Privacy and Responsible Information Sharing Act 2024 (“the PRIS Act”) and the Information Privacy Principles (“IPPs”) set out in the PRIS Act.
This privacy statement sets out how we collect, use and disclose information collected through mandurah.wa.gov.au and mandurahmatters.com.au websites.
This privacy statement does not apply to external websites that are linked on the mandurah.wa.gov.au websites. The City is not responsible for, and does not endorse or otherwise approve, the content, privacy policies or practices of non-government third party websites that are linked on the mandurah.wa.gov.au websites. If you follow a link to another website from mandurah.wa.gov.au websites, we recommend that you to read the privacy statement or policy of that other website to understand what it does with your information.
Collection Notices
A collection notice helps people understand how the City collects and manages their personal information. Collection means obtaining personal information from any source or by any method, including directly from an individual, from a third party, or by creating new personal information through the use or interpretation of existing information. When you use a specific form or service, we may provide a collection notice at the point of collection. The information below sets out how we collect, use and disclose information collected through collection notices.
In accordance with the Privacy and Responsible Information Sharing Act 2024, the City will collect your personal information for a range of statutory and administrative purposes. The personal information that we collect from you may include, but is not limited to:
- your name;
- your date of birth;
- your contact details (e.g. your email address; your home address; phone number);
- your bank and credit card details;
- your employment details (current and past), particularly when you submit a job application to us;
- specific information that will identify you (e.g. your credit card details, your driver’s licence number, your Commonwealth and/or State age or health concession card information);
- a unique identifier, online identifier or pseudonym;
- your IP address;
- top-level domain information (.com, .net, .gov etc.);
- your internet browser type;
- the date and time of your visit or visits to our websites;
- the pages you viewed and time you spent on each viewing;
- the documents that you viewed, accessed and/or downloaded;
- how our websites are accessed; and
- any other information that you provide to us, relevant to the services you used including services provided by any associated third parties;
- how you accessed our site (such as through a link on a referring site or search engine)
The City collects personal information about its residents, businesses, customers and stakeholders for the purpose of the administration of its services and functions such as communication, maintaining accurate records, reporting, and governance obligations as required by law to carry out its activities as a local government. For example, you might provide your details when you interact with the City –
- When you register for an event, a program or at an activity hosted by the City;
- When you register for one of the City’s services, such as a membership for the Library or Recreation Centre;
- When processing an application you have made;
- When you apply for a position with us as an employee, contractor or volunteer;
- When undertaking various activities required by law.
- When you interact with us online, by phone, in person or in writing;
- When you subscribe to our mailing list;
- When you engage with the City’s services to develop new and/or improved existing services; and
- When using our website, we may use cookies or third-party analytics to collect browsing data.
The personal information collected by the City will be used only for the purpose for which it has been collected, or for a purpose you would reasonably expect as part of running the City’s services, activities and other functions.
Examples include:
- issuing rates notices
- managing permits and approvals
- providing library or recreation memberships
- sending updates about services and events
- responding to enquiries or complaints
- conducting research or service improvements
These are some circumstances in which the City may disclose personal information to third parties in the following circumstances:
- The disclosure is a public interest disclosure, or it is information which the public has a right to access under relevant legislation;
- The disclosure is required or authorised by or under any other law;
- The disclosure is necessary to prevent or lessen a serious and imminent threat to the individual concerned or another person;
- The individual concerned has consented to the disclosure; or
- The information is being used by a third party engaged by the City for business purposes.
The City will take reasonable steps to ensure that the personal information that it holds is kept confidential and secure, including by:
- having robust physical security of our premises, databases, datacentres, and records;
- taking measures to restrict access to only employees who need that personal information to effectively provide services to an individual;
- having technological measures in place (for example, anti-virus software, fire walls); and
- ensuring that it’s contracts with third parties responsible for the holding information securely contain appropriate protective mechanisms and actively monitoring compliance.
The City has a formal risk management framework which identifies and controls information management risks, including legislative requirements governing information management.
The City will not keep personal information for longer than it needs to. In most cases, this means that the City will only retain personal information for the duration that complies with applicable legislation, such as the City’s recordkeeping obligations.
Individuals can choose not to provide personal information to the City. Where possible, they may interact anonymously or with a pseudonym. However, this may limit the City's ability to proceed with your request .
Access and correction of your personal information
Under the PRIS Act 2024 and the FOI Act 1992, you have the legal right to request access, correct and/or amend your personal information.
You may also request access to, and correction of, your personal information where Information Privacy Principle 6 under the PRIS Act applies.
